Requesting, Viewing, and Sharing Video Screening Videos

Overview

Customers who utilize the iCIMS Video Screening tool benefit from integrated video displayed within the candidate profile, which offers a modern, cost-effective method to streamlined candidate screening. Videos recorded using Video Screening are stored via iCIMS video provider and do not require any client-side video storage; this service allows video retention for up to two years. See below for steps on requesting, viewing, and sharing a video.

Requesting a Video

Example: The following example demonstrates sending a Video Screening request to a single candidate from their Person Profile. Video Screening requests may also be sent singly or in bulk using the Compose Email tool.
  1. Navigate to a candidate’s Person Profile by performing a Quick Search or a full search.
  2. Click the Screen Tab, then click the Video Screening Panel.
Tip: The Video Screening Panel will display the status of any existing Video Screening request for this candidate for at-a-glance insight into the candidate’s Video Screening status.
  1. Click the Invite this person link to send an invitation to the candidate asking them to record a video.
  2. An email window will display with the Video Screening – Request to Record template pre-selected. Make any desired changes and click Send to send the email to the candidate.
Tips:
  • Video Screening requests may also be sent singly or in bulk using the Compose Email tool, which may be launched from relevant search results. This includes but is not limited to the candidates who appear in recruiting workflow search results displayed on a specific Job Profile. To launch the request using this method, follow the steps below:
    1. Navigate to a Job Profile. On the People Tab, select the By Status grouping and ensure that you are in the Detailed View for that grouping.
    2. Select all relevant individuals, expand the More Actions menu, and then click the Email button.
    3. Within the Compose Email popup, select the Video Screening – Request to Record email template from the Email Template dropdown. Make any desired edits, then click Send to send the Video Screening request.
  • The Video Screening – Request to Record template can be configured by users with Template Admin access. The Video Screening – Request to Record template is the only template that can auto-launch when a user clicks the Invite this Person link. For more information on editing email templates, see the Creating and Editing Email Templates article.

Viewing a Video

Warnings:
  • By default, all videos will display as Flash objects. If the user has an older version of Flash installed (or does not have Flash installed at all) and their browser does not support HTML5, they may see a black screen on the Video Screening display area. Users will have to upgrade to a newer version of Flash to view videos.
  • Users with Internet Explorer 10 can only view a video in full screen if Flash is installed.
Example: The following example demonstrates using the Video Screening – Completed search to monitor which candidates have responded to Video Screening requests. A video may also be viewed by navigating directly to the desired candidate’s Screen Tab and following steps 4 & 5.
  1. Click Search on the menu bar, and select Person. Finally, select Candidate to access the Candidate Search form.
  2. Select the Video Screening – Completed template from the Search Template dropdown, and then click Run Search.
  3. Click on a linked candidate name to access his or her profile.
  4. Click the Screen Tab on the Candidate Profile, then click the Video Screening Panel.
  5. Press the Play button or click anywhere within the tab to watch the candidate’s video.
Tips:
  • To adjust the video’s volume, click the desired level on the volume control.
  • To expand the video to full screen, click the Enter Full Screen icon.
  • If a video is still processing, you will receive a message on the tab (or on the standalone video page) that reads, “Sorry. This video will be available for viewing shortly.” Return to the video in a few minutes to view the candidate’s video.

Sharing a Video

Users can share a video with others, who can view the video without logging into the Platform.
  1. Navigate to a candidate with a completed video using the steps detailed in the Viewing a Video section above.
  2. Click the Screen Tab, then click the Video Screening Panel.
  3. Click Share.
  4. An email window will pop up with the Video Screening – Share template pre-selected. Select recipients, make any necessary changes to the email message, and click Send.
Tips:
  • The Video Screening – Share template can be configured by users with Template Admin access. The Video Screening – Share template is the only template that can auto-launch when a user clicks the Share link. For more information on editing email templates, see the Creating and Editing Email Templates article.
  • The shared video link will expire 14 days after being sent. If the recipient clicks the link to open the shared video after 14 days have passed, they will receive the following error message: “To ensure the security of your data, the link you clicked has expired and may no longer be used.”

Requesting a New Video

Warning: Requesting a new video will permanently delete the original video submitted by the candidate. This action is irreversible.
  1. Navigate to a candidate with a completed video using the steps detailed in the Viewing a Video section of this article.
  2. Click the Screen Tab, then click the Video Screening Panel.
  3. Click Request to request a new video.
  4. Click OK on the dialogue box to confirm the permanent deletion of the old video as part of the request for a new video.
  5. An email window will display with the Video Screening – Request to Record template pre-selected. Make any desired changes and click Send to send the email to the candidate.
