Initiating a Video Interview from the iCIMS Talent Platform

Many clients also choose to contract with a video interviewing vendor to capture more robust asynchronous and synchronous video of a candidate explaining and displaying their talents.

Process Overview:

A standard video interview integration can be built in one of the following ways:
  • If a client requires all candidates applying for a job to do a video interview, they should use an integration that is launched at the end of the job application process. This type of integration is called an Application Complete integration.
  • If a client wants to pick candidates to do video interviews based on certain criteria, they should use an integration that is launched when the candidate is moved to a specific Recruiting Workflow Status (e.g. Initial Review: Send to Video Interview) within the Platform. There are two ways this type of integration can be built:
    1. A Workflow Status Change - Seamless integration gives you control over which candidates should receive the video interview email. When you create the Job Profile, you will select the video interviewing package you would like the candidate to use. Then, when you move the candidate into that Recruiting Workflow Status, the vendor will automatically send a notification email to the candidate, instructing the candidate to complete a video recording task.
    2. Workflow Status Change - Interactive integration also gives you control over which candidates should receive the video interview email. When you move a candidate into the Recruiting Workflow Status that initiates the video interview, you will be redirected to the vendor's portal where you then select or create a video interviewing package and initiate an email (sent by the vendor) notifying the candidate to complete a video recording task.
The vendor will utilize the Video Interview panel on the Screen Tab of the Recruiting Workflow Profile to display the status and URL of the video interview.

Process Steps:

Application Complete

  1. When setting up the video interview integration, you should ask that the integration be set up so every candidate who applies for a certain job is asked to complete a video interview task after they have completed their job application.
  2. When a candidate logs in to the Career Portal and completes a job application, there will be an additional step following the submission of the application. This step will display a link that will take the candidate to the video interview vendor, where the candidate can then complete their recording.
  3. Once the candidate has completed the video recording task, they are redirected to the Career Portal either to complete tasks associated with other integrations (e.g. assessments) or to see a confirmation message informing them that their application has been successfully submitted.

Workflow Status Change - Seamless

  1. To initiate the integration with the video interviewing vendor, you must be logged in to the iCIMS Talent Platform.
  2. Then, search for the specific Job Profile. Locate the Video Interviewing Package field on the Job Profile Detail Tab. Make sure that the correct package has been selected for this job.
  3. Locate the appropriate candidate on the People Tab of the Job Profile. Select the candidate and move them to the Initial Review: Send to Video Interview status (or equivalent trigger status, depending on how your integration is set up). This will initiate the process on the vendor's side.
  4. The vendor will automatically send an email notification to the candidate, requesting them to complete a video recording task.
  5. The status of the video interview can be viewed in the iCIMS Talent Platform on the Screen Tab of the Person Profile and the Recruiting Workflow Profile. The system displays information regarding the completed interview including the date/time and the URL for the video interview. You can click on the URL to see the candidate’s interview.

Workflow Status Change - Interactive

  1. To initiate the integration with the video interviewing vendor, you must be logged in to the iCIMS Talent Platform.
  2. Then, locate the appropriate Recruiting Workflow Profile. Move the candidate to the Initial Review: Send to Video Interview status (or equivalent trigger status, depending on how your integration is set up). This will initiate the process.
  3. A popup will launch that will lead you to the vendor's video interview portal. Click the Confirm or Modify Package link, which will bring you to the vendor's site.
  4. While in the vendor's portal, select or create the video interview package you would like to use for this particular recruiting workflow.
  5. Once you have selected the video interview package, you are responsible for launching an email notification to the candidate from the vendor's site. The candidate will receive an email requesting that they complete a video recording task.
  6. The status of the video interview can be viewed in the iCIMS Talent Platform on the Screen Tab of the Person Profile and the Recruiting Workflow Profile. Once the candidate has completed the recording task, this tab will also display information regarding the completed interview including the date/time and the URL for the video interview. The user can click on the URL to see the candidate’s interview.
